JOB SUMMARY

The Validations Coordinator provides exemplary customer service and creates a positive experience for both players and retailers. Validates winning tickets and processes claim information. Generates payments for prizes won through the iLottery channel. Answers retailer and player questions or problems concerning instant and online products via telephone. Assists with resolving issues from customer service database transferred from third party vendor.

ESSENTIAL DUTIES/RESPONSIBILITIES

  • Validates winning tickets and processes claim information from walk-in customers and via telephone from cashing agents. Reconciles information from paper forms to computer inputs. Assists with tracking claim information by scanning documentation or filing paperwork.

  • Processes large volume of mailed in tickets and works with KLC Security to reconstruct damaged tickets. Processes check payments for iLottery wins.

  • Answers retailer and player questions or problems concerning validations/claims on scratch-off, draw, and iLottery products. Assists retailers with validation issues. Monitors and resolves issues from customer service database.

  • Assists in accounts payable responsibilities, including processing invoices for payment and processing monthly procurement card (ProCard) transactions.

  • Maintains retention records for claims and associated paperwork handled by Validations Department. Maintains department inventory of paper stock and promotional items.

  • Works as part of a team supporting Validations Coordinators within the department, as needed. Scheduling and assignments may be delegated by Lead Validations Coordinator.

Other Responsibilities

  • Assists Sr. Manager of Retail Financial Operations on issuing checks for withheld funds to other government agencies.

  • Performs other duties as assigned by the Sr. Manager of Retail Financial Operations.

KNOWLEDGE/SKILLS/EXPERIENCE

Incumbent must possess the following combination of knowledge and experience:

  • High school diploma or equivalent required. Some college preferred.
  • Minimum two years’ telephone/customer service experience required.
  • One to two years’ bookkeeping or accounting experience in a computerized accounting environment preferred. Relevant college coursework in business, accounting, or finance will be accepted in lieu of experience.
  • Minimum one-year of experience using PC applications and spreadsheet software. Word processing and calculating skills required. Must have experience with Internet navigation.
  • Experience with Microsoft Dynamics (D365) or other Enterprise Resource Planning (ERP) system preferred.
  • Experience as a bank teller a plus, but not required.
  • Excellent communication skills required. Ability to work with the public and be tactful and articulate. Bilingual in English/Spanish a plus.
  • Must display excellent organizational skills and the ability to multi-task.
  • Must be able to perform repetitive tasks with a high degree of accuracy.
  • Must have excellent attention to detail.

SUPERVISORY RESPONSIBILITIES

This position has no supervisory responsibilities.

WORKING CONDITIONS

  • Monday through Friday onsite in Louisville corporate office.
  • The Validations Department includes a “walk-up window” for the public for claims processing.

Salary Range: $38,556-$48,246 (Midpoint) . Our goal is to pay a competitive market salary for new employees, which is typically up to the midpoint of our pay ranges. However, final offers for all positions will be based on several factors such as experience level, education, skills and internal pay equity.
